Two things to notice:
- Per-seat pricing hides the real bill. A “from $9” plan usually has a 3-seat minimum, so a 2-person team still pays for three. Always multiply by your actual seat count.
- Free plans vary wildly. Trello and ClickUp give you real working rooms; Smartsheet’s free tier is a trial. Don’t judge a tool by its free plan alone.
How to pick (by team profile)
- Small team, first PM tool: start on Trello or ClickUp free. Add structure only when you feel the pain.
- Cross-functional, visual work: monday.com — easiest onboarding, but watch seat creep.
- Engineering / Agile: Jira is the default for a reason; steep for non-devs.
- Docs-heavy or knowledge teams: Notion if PM is secondary to documentation.
- Spreadsheet-native org: Smartsheet feels like home, at enterprise prices.

There is no universally “best” tool — only the best fit for your team’s size, methodology, and tolerance for complexity. The mistake most teams make is buying the most feature-rich option (usually ClickUp or monday) and drowning in setup. Start one notch simpler than you think you need.
